This policy is established in compliance with the new Federal Act on Data Protection (nFADP, SR 235.1), in force since 1 September 2023.

2.2 Via use of the Yona System software (clients)
- Professional identification information (company name, address, UID)
- Billing data
- Software usage data (anonymised statistics)
- Database backup copy, securely stored to enable restoration in the event of a failure
2.3 POS data — multi-site service only
Transaction data (sales, products, stock movements, etc.) are collected and synchronised only if the client has subscribed to the Yona Manager — Multi-site service. This collection is not used for any commercial, advertising or analytical purpose. Clients who have not subscribed to this service have no POS data collected — their data remains exclusively local.

4. Retention periods
- Contact data : 3 years from the last contact
- Client data (active contract) : for the duration of the contract
- Client data (after termination) : 3 months for export and closure, then permanent deletion
- Accounting and legal data : 10 years in accordance with the CO
- Technical logs : 12 months
5. Data recipients
Personal data is processed exclusively by Yona System and is not sold or transferred to third parties. It may be transmitted to :
- Technical providers : Infomaniak hosting (Switzerland) — for technical purposes only
- Accounting providers : within the framework of legal obligations
- Competent authorities : upon express legal request
6. Protection of tax data — Professional secrecy
Tax and accounting data processed via Yona System constitutes sensitive data subject to professional secrecy.
Yona System formally undertakes to :
- Never use this data for commercial, statistical or advertising purposes
- Never transmit it to unauthorised third parties
- Ensure that this data remains under the exclusive control of the user
- Process this data solely within the strict framework of the subscribed service
7. Data security
Yona System implements appropriate technical and organisational measures :
- Encryption of sensitive data
- Restricted access (principle of least privilege)
- Hosting in Switzerland with Infomaniak
- Regular system updates
- Regular backups
In the event of a data breach likely to result in a high risk, Yona System will notify the FDPIC as soon as possible, in accordance with Art. 24 nFADP.
8. Your rights
In accordance with Articles 25 to 27 of the nFADP, you have the following rights :
- Right of access : obtain confirmation that data concerning you is being processed
- Right of rectification : have inaccurate or incomplete data corrected
- Right to erasure : request deletion of your data
- Right to data portability : receive your data in a machine-readable format
- Right to object : object to processing based on legitimate interest
- Right to withdraw consent : at any time

9. Cookies
This site only uses strictly necessary technical cookies for its operation. No advertising, profiling or third-party tracking cookies are used.
10. International transfers
Data is hosted primarily in Switzerland with Infomaniak. Some data may be stored in neighbouring European countries (Germany, France, Austria) offering an adequate level of protection recognised by the Swiss Federal Council (Art. 16 nFADP). No transfer is made to countries not offering an adequate level of protection.
11. Policy changes
Yona System reserves the right to modify this policy at any time. Changes take effect upon publication. In the event of a substantial change, registered users will be notified by email.
